Issuing, duplicating and cancelling invoices

4 min read

When you issue an invoice in Rhinvoice, it gets its final number, without gaps and without duplicates. From then on its content and PDF are locked. An issued invoice cannot be changed; it can only be corrected with a cancellation invoice, which gets a number of its own.

  1. Write the invoice as a draft (Invoices → New invoice). A draft has no number yet and saves itself.
  2. Leave Date empty to use the date of issue. Leave Due date empty to use the payment terms of the customer or company.
  3. Click Issue and confirm Issue the invoice?.

If something is missing, Rhinvoice does not issue and says what to do. It checks, among other things:

  • the mandatory details of your country: in Switzerland and Liechtenstein your VAT number (unless you are not VAT-registered), in Germany your tax number or VAT ID (not on small-amount invoices up to EUR 250), in Austria your VAT ID (not up to EUR 400) and, on invoices above EUR 10,000 to businesses in Austria, also the customer’s VAT ID; small businesses in Austria need neither,
  • at least one line with an amount and a total above zero; credits only arise from cancelling,
  • a bank account in the invoice’s currency (Settings → Bank accounts),
  • for reverse charge, the customer’s VAT number,
  • the date: not in the future and not before the last issued invoice, so that numbers and dates rise together.

The number follows the sequence under Settings → Number sequences. The preset is R{YYYY}{NNNN} (for example R20260001), reset every year; the year follows the invoice’s date.

  • The number. It is assigned in the same database transaction as the issuing. If something fails, no number is used up, and the database itself prevents duplicate numbers.
  • Content and VAT rates. Lines, amounts and the VAT rate of every line are frozen. The rate of the date of supply applies; later rate changes do not apply retroactively.
  • Sender, recipient and bank account. Rhinvoice stores company, customer and bank account as they were when issuing. If you change a customer’s address later, the invoice stays as it was. The print template of that day is kept too.
  • The PDF. The invoice keeps its first PDF, stored with its SHA-256 checksum.

The lock is not only in the interface: the database itself refuses changes to the content and the deletion of issued documents. Status changes such as payments and cancellation remain allowed. Each invoice’s History records when it was created, issued, paid or cancelled.

Delete a draft with Delete draft in the More actions menu (the button with three dots). Issued invoices can never be deleted, not even by hand in the database.

More actions → Duplicate creates a new draft with the same content: customer, lines, texts, discounts and currency. Date and due date are empty, and the number comes only when it is issued. This works with every invoice, also a cancelled one, and with quotes. Cancellation invoices and invoices taken over cannot be duplicated.

An issued, partially paid or paid invoice is reversed with More actions → Cancel invoice. After you confirm, Rhinvoice issues a cancellation invoice right away:

  • with its own number from the Cancellations sequence (preset S{YYYY}{NNNN}),
  • with the same lines in negative quantity and with the invoice’s frozen VAT rates, sender, recipient and rounding; its total is exactly the negative total of the invoice,
  • without introduction and payment terms, since it asks for no payment. It is due on the day it is issued and is never overdue.

The invoice is then Cancelled. Open cancellation invoice and Open cancelled invoice take you from one to the other. A cancellation cannot be undone.

If the cancelled invoice was already paid, refund the amount outside Rhinvoice; Rhinvoice does not record refunds yet.

When does an invoice get its number in Rhinvoice?

Only when it is issued. The number is assigned in the same database transaction that issues the invoice, so there are neither gaps nor duplicate numbers.

Can I still change or delete an issued invoice?

No. From issuing on, content and PDF are locked, and issued invoices can never be deleted. The only correction is a cancellation invoice, which gets a number of its own.

How do I correct a wrong invoice?

Cancel the invoice. Rhinvoice then issues a cancellation invoice with its own number that reverses it. Then duplicate the invoice, correct the copy and issue it again.

What does Rhinvoice check before issuing?

Among other things the mandatory details of your country, such as your VAT number or tax number, that there is at least one line with an amount, that the total is above zero and that the date is not in the future.
